    Hi all,

    I am trying to get an understanding how other organisations are capturing data to be compliant with National Standard 3.6.1:

    – demonstrating maintenance of vaccination status of existing workforce employees
    – identifying subsequent additional vaccination requirements for relevant members of the workforce

    It is not a problem to get this data on new employees but I’m finding it difficult to find a good way to get the same level of info on existing staff. Any ideas would be very very welcome 🙂

    Hello Jane,
    There is no ‘good way’ to get the information from existing employees. Many of my organisations staff have worked here so long don’t remember anything about their immunisation status.
    For us it will be a matter of contacting them one by one.
    We did it this way:

    * Briefing paper (for the executive) showing the risk of not knowing staff immunisation status.

    o Outlining the process required to get this up to date and included pathology and immunisation costs and the cost to employ an immunisation nurse.

    * The commission’s work force immunisation risk matrix to determine which areas to target first.

    o This resulted in funding for an employee health nurse.

    * 5 year plan for our new Employee Health Nurse to work towards (based on the risk matrix).

    o The employee health nurse will target those high risk areas by contacting each staff member, arranging for path testing as required.

    * The data is recorded in the our HR system.

    Hi Jane and Cathi

    We have just submitted a proposal to our executive committee to address exactly this problem.

    We have a very vigorous process in place to address new employees but found that the immunisation records for existing employees were mostly incomplete. What we did was run a report from our immunisation database identifying those employees who have immunisation records (either complete or incomplete) and compared it against our total employee establishment list for each area for all of our employees who have clinical contact (a time consuming process!). Our plan now is to address these outstanding requirements, per area, based on risk and level of clinical contact. There are a large amount outstanding and we will need to have some extra resources to address them – hence our proposal.

    Hi Jane

    I have done this in other organisations I have worked in, and to say it was a pain is an understatement! The only real way to ensure you have captured ALL staff is to have a process for requiring them to complete a survey, then following up based on the responses to the survey (eg organising serology, boosters + serology, etc). You really need a good process for this, and a means to ensure ALL staff are captured, and ensure those who don’t initially fill in the survey get hounded until they do. It is very resource intensive and requires great record keeping, so really needs to involve HR from the beginning (to ensure all staff are included).

    If you are lucky enough to have a dedicated database which is linked to your HR database for this, it makes it easier, but still resource intensive to get it to the stage of only requiring new staff to be entered.

    I have to comment that this is a ‘borderline’ infection control activity, and can take valuable resources away from your infection control program for a significant period of time. It is best to be assertive with your facility executive managers and have them acknowledge the amount of time and resources this will require, and what impact it could have on infection control activities.

    I am awaiting a new staff health database here before I undertake this, and will be seeking a lot of data entry assistance. Good luck with however you seek to do this.
